Privacy Policy

I am registered with the ICO (Information Commissioners Office) which means I  need to tell you what data I am collecting from you and what I intend to do with it.

What data do I keep and why do I need it?

Name and age –

this is basic information that helps me get to know you

Address, e-mail address and phone numbers –

I use these as a way of contacting you regarding your sessions. I will mainly use the method that you nominate but if I cannot reach you I will try a different method

Next of Kin/Doctor’s details –

If I was worried that you were at risk then I may need to contact your next of kin or Doctor, if I can, I will tell you before I do this.

Session notes –

I keep very brief anonymous notes of our sessions. I use a secure software system called Bacpac that is recommended by the BACP (British Association of Counsellors and Psychotherapists) to keep notes of our sessions. Bacpac is password protected and requires an additional code from Bacpac each time the system is accessed.

Will I share your data and if I do, who will I share it with and for what purpose?

It is very unlikely that I will share your data. I will not sell it or use it for unethical reasons. I may have to share it if my notes are subpoenaed by a court. If you or anyone you tell me about is at harm or risk of harm I may have to pass this information on. I also have regular Supervision where I talk about my work but I only use your first name.

How will I store your data?

Most of your data will be stored on Bacpac as mentioned above. Any written material such as a signed copy of this document will be stored in a locked safe at my home. Your telephone number is stored on my business mobile phone using your first name and last initial. I am the only person who will access your information.

How long will I store your data and how will I dispose of it?

I will keep your session notes, your name and your unique code for 5 years. I will shred this document and any other paper documentation containing your personal details one month after our work finishes. I will delete your phone number out of my mobile phone one month after our work finishes.
